A Simple Note-Taking System for Organizing Scattered Thoughts
Everyone has had a good idea come to mind, only to lose it while deciding where to write it down. Notes fail to accumulate not because you are lazy, but because there are too many “places” to take notes, forcing you to decide every time. The solution is to reduce the entry point to one.

Core principle: One entry point, organize later
Put everything that comes to mind into a single “Inbox” first. Do not worry in the moment about where it should be categorized. Organize everything later in one batch. The whole point is to bring the friction of writing things down as close to zero as possible.
Two-step structure: Inbox and archive
- Inbox: one note pinned at the top of your note app. Drop everything that comes to mind here, one line at a time.
- Archive: keep only four folders: “To-do,” “Ideas,” “References,” and “Later.” Do not add more.
Rules for 3-second input
Adding a symbol at the beginning of each note makes it faster to sort later. When something comes to mind, just add the symbol and write the content.
| Symbol | Meaning | Example |
|---|---|---|
| □ | To-do | □ Call to make a dentist appointment |
| ! | Idea | ! Start a weekend writing group |
| ? | Look up | ? Compare credit cards with better exchange-rate benefits |
| ~ | Someday | ~ Live in Jeju for a month |
Weekly 10-minute cleanup routine
- Set an alarm every Sunday evening and open your Inbox.
- Read each line from the top and move it into one of the four folders according to its symbol.
- Send “To-do” items straight into a time block or calendar.
- If something can be done within 2 minutes, do it immediately instead of moving it.
- Delete lines once they have been handled or moved, and start the week with an empty Inbox.
The real benefit of this system is not “I won’t forget,” but “I won’t feel anxious.” When you write every thought in one place, your brain no longer has to hold on to it in order to remember it. That gives you more focus for the work in front of you.
